I’ve often seen teams wasting time on manual tasks, struggling with outdated systems and technology, chasing someone down to gain a rubber stamp approval, and trying to work around disjointed communication channels. These inefficiencies not only slow your teams down but also eat into profits.

But how should you get started?

To identify the inefficiencies your teams struggle with, talk to them about challenges or pain points they experience daily or whenever they complete specific tasks or processes. Business process modeling begins with mapping out current processes to understand the flow of tasks, decisions, and who is responsible for it. Tools and software designed for process modeling can help streamline this process and facilitate conversation and collaboration, but often a whiteboard with some markers or a wall and some sticky notes will also work perfectly.

After analyzing current processes, you should have a decent idea about where the bottlenecks, broken lines of communication, and other issues reside. You can then map out new processes to correct those issues. Remember that proper documentation is key here. It serves as a blueprint for implementing the changes and ensures everyone is on the same page regarding the proposed new processes.

After you’ve mapped out your optimized processes, created the necessary documentation, and implemented them into the organization, set up a schedule and protocol to track them. Tracking and monitoring are important because they allow you to understand whether your new processes are being adopted correctly and whether they’re producing the expected value.

Organizations can significantly increase their operational efficiency by identifying and eliminating bottlenecks, streamlining workflows, and integrating technology and automation where appropriate and feasible.

This iterative approach ensures that processes remain agile and adaptable to changing business needs.

As I mentioned earlier, a Business Analyst should collaborate with stakeholders from the beginning. Engage them in conversation and understand how their role uses the process. Once that is known, you can understand how their role will be affected by any future changes to the process and communicate that with them.
